Terms and Conditions

These Terms and Conditions apply to all wedding photography and videography services provided by Essential Wedding Photo and Video.

By paying a deposit or invoice issued by Essential Wedding Photo and Video, you confirm that you have read, understood and accepted these Terms and Conditions.

Business details:

In these Terms, “I”, “me”, “my”, “the business” or “Essential Wedding Photo and Video” refers to Essential Wedding Photo and Video. “You”, “your” or “the client” refers to the couple or person making the booking.

Essential Wedding Photo and Video provides wedding photography and videography services.

Your booking includes the date, locations and inclusions listed on your invoice or quote.

Complete Wedding Photography and Videography means full-day coverage by one experienced photographer and videographer, using a multi-camera setup during key moments such as the ceremony and speeches.

The coverage is designed to capture your wedding day naturally, calmly and unobtrusively, from the beginning preparations through to the ceremony, portraits, key reception moments and formal exits where possible.

The seven main delivery milestones are:

• 30+ preview photos within 24 hours
• 30+ film photos within 72 hours
• A 30 to 60 second wedding trailer within 7 days
• 800+ high-resolution professionally edited photos within 30 days
• A full ceremony and reception wedding movie within 60 days
• A 5+ minute wedding documentary film within 120 days
• Film look photos and Super 8 inspired video moments
• Online gallery and video delivery with 3 year access
• Engraved USB sent to address of choice
• Wedding album sent to address of choice

Drone photo and video coverage is included where weather, airspace rules, venue permission and safety allow.

Your wedding date is not secured until the required deposit has been paid.

For new bookings, the current deposit is $3,000 unless otherwise stated on your invoice or quote.

Once your deposit has been received, your date is locked in and Essential Wedding Photo and Video will not accept another wedding booking for that date.

Your quote or invoice may be held for three days from the date it is issued. After this hold period, the date may be released to other couples unless a deposit has been paid or a written extension has been agreed.

The deposit is non-refundable, subject to your rights under Australian Consumer Law.

The remaining balance is due fourteen days before the wedding date unless otherwise stated on your invoice.

Accepted payment methods will be listed on your invoice.

If the final payment is not received by the due date, Essential Wedding Photo and Video may pause planning, delay delivery, withhold services, or cancel the booking.

If payment is late, the original deposit remains non-refundable.

If you cancel more than fourteen days before the wedding date, the deposit is non-refundable and any additional amount paid may be refunded.

If you cancel within fourteen days of the wedding date, all payments are non-refundable.

If you need to reschedule your wedding date, the new date is subject to availability.

If more than thirty days’ notice is provided, the first reschedule request is free where the new date is available. Additional date changes may incur a $500 admin fee.

If less than thirty days’ notice is provided, a $500 admin fee may apply for each date change.

If Essential Wedding Photo and Video is unavailable for your new date, this may be treated as a client cancellation.

In the rare event that I cannot attend due to serious illness, injury, emergency or circumstances outside my reasonable control, I will take reasonable steps to arrange a trusted replacement photographer or videographer where possible. If I cancel and cannot provide the agreed service or a suitable replacement, all payments received, including the deposit, will be refunded.

Full-day coverage means coverage of the natural flow of your wedding day, from preparations through to key reception moments and formal exits where possible.

Coverage depends on your wedding schedule, access to locations, travel time, lighting, weather, venue rules, guest cooperation and timing on the day.

You agree to provide accurate details, including addresses, start times, ceremony times, reception times, run sheets, vendor contacts and any important family or cultural moments.

Essential Wedding Photo and Video is not responsible for missed coverage caused by late arrivals, sudden schedule changes, incorrect information, venue restrictions, unsafe conditions, poor lighting, blocked camera views, guest interference, supplier delays or moments that occur when I have not been informed or cannot reasonably be present.

If filming occurs during standard dinner hours, a vendor meal must be provided.

Delivery timelines are calculated from your wedding date.

The standard delivery milestones are:

• 30+ preview photos within 24 hours
• 30+ film photos within 72 hours
• A 30 to 60 second wedding trailer within 7 days
• 800+ high-resolution professionally edited photos within 30 days
• A full ceremony and reception wedding movie within 60 days
• A 5+ minute wedding documentary film within 120 days
• Film look photos and Super 8 inspired video moments included in your final delivery
• Online gallery and video delivery with 365 day access

Delivery may be affected by peak wedding season, family emergencies, illness, technical issues, client delays, editing complexity or circumstances outside reasonable control.

I will make reasonable efforts to deliver within the stated timeframes.

Essential Wedding Photo and Video retains copyright ownership of all photographs, video footage, audio recordings and edited works created.

You receive a personal licence to download, share, print and use the delivered photos and videos for personal use.

You may not sell, license, commercially distribute, heavily alter, re-edit or provide the work to third parties for commercial use without written permission.

Essential Wedding Photo and Video may use selected images and videos for portfolio, website, social media, advertising, sample galleries, wedding showcases, awards, educational content or other promotional purposes.

If you would prefer specific images, videos, people or parts of your wedding not to be shared publicly, please request this in writing before your wedding date where possible.

Raw photos and raw video files are not included unless specifically agreed in writing or listed on your invoice.

Essential Wedding Photo and Video will take reasonable care in providing wedding photography and videography services.

To the extent permitted by law, liability is limited to the amount paid by you for the relevant services.

Essential Wedding Photo and Video is not liable for indirect loss, emotional distress, loss caused by third parties, supplier actions, guest actions, venue restrictions, weather, poor lighting, audio interference, blocked camera angles, equipment failure outside reasonable control, data loss outside reasonable control, or delays caused by the client, venue or other suppliers.

Essential Wedding Photo and Video holds public liability insurance. A current certificate of currency can be provided to venues where required.

Nothing in these Terms limits your rights under Australian Consumer Law.

Personal information collected during an enquiry, quote, booking, wedding day or delivery process is handled as described in the Privacy Policy.

Wedding photography and videography may include images, audio and video of you, your partner, guests, children, family members, suppliers and venues.

Please notify Essential Wedding Photo and Video in writing before your wedding date if there are any privacy concerns, child protection concerns, cultural restrictions or specific people who should not be photographed, filmed or shared publicly.

These Terms are governed by the laws of the Australian Capital Territory and applicable Australian law.

Any dispute will be dealt with in the appropriate courts or tribunals of the Australian Capital Territory, unless otherwise required by law.
